FAQ: Hoop app for Mac

The Hoop app for Mac captures tasks from meetings and audio, transcribing them in real-time while keeping your data private—no bots or stored recordings needed.

1. What is the Hoop app for Mac?

Download the Hoop app for Mac to automatically capture tasks from any meeting or audio source on your computer. Tasks will appear in your “Incoming” list in Hoop, alongside tasks from email and Slack. Once you install the app, you don’t need to do anything else—your tasks will simply appear.

2. Which platforms does it support?

Hoop captures tasks from nearly any app with audio—Zoom, Google Meet, Microsoft Teams, Slack huddles, RingCentral, or even an audio memo. It checks your calendar for upcoming calls and notifies you before each meeting, asking if you’d like it to capture tasks.

If you start an unscheduled call—like a Slack huddle—Hoop detects the audio and offers to join and capture tasks.

Some people even speak tasks aloud when they’re not in a meeting, letting Hoop convert their spoken notes into action items.

3. Who can see tasks and transcripts?

By default, only meeting participants see the meeting tasks, summaries, and transcripts. If you’re in a Hoop-powered meeting with colleagues, the transcript and tasks appear exclusively for those who:

  1. Were included on the calendar event for that meeting and
  2. Have a Hoop account registered with the same email address.

No one else—like coworkers who didn’t attend—will see your transcript or tasks unless you explicitly share them.

4. What about recording? Do you store audio or video?

The Hoop app for Mac processes audio in real time to create a transcript and extract tasks. No audio or video files are stored on our servers.

5. How do we process that audio?

When you launch the Hoop desktop app for Mac, it begins capturing short snippets of audio from your system’s speakers and microphone. Here’s the flow:

  • Local capture – Hoop securely handles audio on your Mac first.
  • Deepgram for transcription – We send those snippets to Deepgram, which converts the audio into text.
  • OpenAI or Gemini for AI – Finally, we analyze the text to pull out tasks and meeting summaries, using AI providers that do not train on your data.

6. How much control is there over sharing?

By default, each meeting’s transcript and tasks remain visible only to people who joined that meeting. But if you need to share them more widely, you can do so in Hoop under “Events.” You can also delegate or reassign tasks to teammates.

7. Is there a meeting bot?

No — the Hoop app for Mac works without a meeting bot. If you prefer not to have a bot join your calls, the Mac app captures tasks from any audio source on your computer—Slack huddles, Microsoft Teams, or even a recorded call you’re replaying.

8. I’m having issues with audio. How can I troubleshoot?

You'll be able to see the status of your audio at the bottom of the Hoop window.

Make sure the microphone listed is the one you’d like to use. If not, you can select a different one from the "Sound" preferences panel.

If you're having trouble getting Hoop to recognize your microphone or system audio, double check that Hoop as permission in System Preferences -> Privacy & Security -> Microphone and System Preferences -> Privacy & Security -> Screen & System Audio Recording

System Preferences -> Privacy & Security -> Microphone
System Preferences -> Privacy & Security -> Screen & System Audio Recording
